Data access policy

This page explains how Workloom, operated by Zaurion Ventures LLP, uses the mail you connect, when Workloom staff can see your workspace, and how long we keep your data. It sits alongside our Privacy Notice, our Data Processing Addendum and our list of Sub-processors. Questions: info@useworkloom.com.

Mail you connect from Google or Microsoft

When you connect your own inbox, Workloom reads and sends mail from it to provide the features you use: showing your conversations, matching the people you email to your records, noticing replies, and sending the email you write or approve.

• Workloom's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
• We hold mail from Microsoft 365 and Outlook to the same standard.
• Mail from a connected inbox is used only to provide these features. It is never used for advertising, never sold, and never shared with other Workloom customers.
• To write drafts and understand replies, the content of your email is sent to our AI providers, listed on our Sub-processors page. It is never used for training AI models, ours or theirs.
• The sign-in that lets Workloom reach your inbox is stored encrypted.
• You can disconnect at any time from Keel › Mailboxes. For Google, disconnecting revokes Workloom's access at Google. For Microsoft, it deletes the sign-in we hold, and you can also remove Workloom from your Microsoft account's app permissions. After you disconnect, Workloom reads and sends nothing more from that inbox.

Workloom support

Workloom support has no access to your workspace unless you turn it on.

• An admin of your workspace can turn support access on from Settings › Team and seats › External access, for up to 72 hours at a time, and turn it off at any time.
• While it is on, Workloom support can read your workspace but cannot change anything.
• Everything Workloom support does appears in your workspace's Activity log.
• Access ends by itself when the time you chose runs out.

Company and contact data

Workloom's database of companies and people may be shared with Workloom customers, including in exchange for monetary or other valuable consideration, as our Privacy Notice describes. This never includes mail or any other information we receive from Google or Microsoft through an inbox you connect.

How long we keep your data

We keep your data for as long as you use Workloom, and until you ask us to delete it.

Deleting your data

• One inbox. Disconnect it from Keel › Mailboxes. Workloom stops reading and sending at once. Mail already read stays in your workspace until you delete it.
• One person. An admin can erase a person from Settings › Security › Erasure requests. It takes effect at once. We keep only a record that they were erased, with their email address scrambled, so they are not added again.
• Your workspace. An admin can close it from Settings › Close workspace. Everyone is signed out, every connected inbox is disconnected and nothing more is sent. Your data is kept until you ask us to delete it.
• Everything. Email info@useworkloom.com from an admin's address and ask us to delete your workspace. We delete it within 30 days and confirm by email when it is done.
